How to share Google Tasks with your team

Updated November 5, 2026 · 2 min read

Google Tasks is great for your own to-dos, but it can’t share a list with colleagues: no owners, no shared board, no follow-up. Here is what Google offers, where it stops, and how to work as a team without giving up your lists.

What Google Tasks can (and can’t) do

In Google Workspace, a task can be assigned from a Google Chat space or a Google Docs document. It then shows up in that person’s Google Tasks. That works for a one-off request, but a team is missing the essentials:

The method: a team board connected to your Google Tasks

TeamWing adds what is missing on top of the Google Tasks you already use: the team board is connected to a Google Tasks list and syncs with it both ways.

  1. Sign in with your Google account at teamwing.app. Nothing to install.
  2. Create a team board from a template (client project, hiring, content, support…) or from scratch.
  3. Invite colleagues by email with a role: editor (changes tasks) or viewer (read only).
  4. Connect the board to a Google Tasks list. Tasks created or ticked off on one side show up on the other, with their dates.
  5. Give each task an owner: they are notified and find it in their “My work” space, with its due dates.

Frequently asked questions

Do I have to stop using Google Tasks?

No. The board stays connected to a Google Tasks list: whatever is added or ticked off there, from Google Tasks, Gmail or Google Calendar, flows into TeamWing, and the other way round.

Do my colleagues need Google Workspace?

Any Google account works, business (Workspace) or personal.

How much does it cost?

The free plan covers one board and three people. Unlimited teamwork starts at €6 per member per month (Pro plan). Details on the plans page.
