A Kanban board for your Google Tasks
Google Tasks shows lists: handy for ticking things off, much less for seeing where a project stands. Kanban solves that with columns that represent the stages of work. Here is how to apply it to your Google Tasks.
Why a Kanban board rather than a list
A list tells you what is left to do. A Kanban board also tells you where each task stands: to do, in progress, waiting for review, done. At a glance, the team sees blockers, tasks piling up in a column and what is moving.
Setting up the board
- Create a board in TeamWing with your Google account, from a template (project, content, hiring, support, sales…) or from scratch.
- Define your columns: name, order and colour. Keep it short (four to six) for a readable flow.
- Connect a Google Tasks list: its tasks land in the first column, and what you complete in TeamWing is ticked off in Google Tasks.
- Drag cards from one column to the next as work progresses.
What a card can hold
- one or more owners, a priority, a colour category;
- a start date and a due date, an estimate and the time spent;
- checkable subtasks, dependencies (“blocked by…”) and recurring tasks;
- a link, a description and attachments received by email.
Beyond the board
The same tasks show up in other views when you need them: My day for your priorities, Calendar, Planning with dependencies, each person’s Workload, Time for timesheets, and statistics on the flow. Colleagues’ changes appear live, and the board is shared with roles: see how to share Google Tasks with your team.
Good practices
- One column = one real stage of work, not a category.
- Limit “in progress” cards per person: finish before you start.
- Review the board together every week; TeamWing’s Friday report can do it for you.
